01 Discovery and implementation

Define the right build before we begin

We will start with a focused working session and Wix review, then provide a final fixed implementation price based on the confirmed requirements.

Champions Circle technical discovery

A focused first phase to confirm the most effective Wix-native setup, clarify the member experience, and remove uncertainty before implementation begins.

$750 Paid discovery

Discovery includes

One 60-minute working session with the authorized OutAF decision-makers
Review of the current Wix setup, installed apps, payment flow, Members Area, and recurring-giving capabilities
Confirmation of the annual and monthly giving structure and the appropriate Wix-native approach
Clarification of digital membership card, website recognition, benefit display, automation, and fulfillment requirements
Identification of the approved content, assets, access, legal language, and decisions needed from OutAF
A written implementation brief with the recommended approach, timeline, final scope, and fixed fee
The $750 discovery fee is due when the working session is scheduled

Expected implementation

$5,000 to $8,000 Expected implementation investment

The discovery fee will be credited toward implementation if OutAF accepts the final proposal within 14 days
A clean Wix-native implementation is expected to fall near the lower end of the range
Custom functionality, integrations, specialized membership cards, data migration, or expanded automation may move the project toward the upper end
OutAF will receive a fixed implementation price before the build begins
No work above the accepted fixed fee will be performed without written approval

Shared preparation: OutAF will approve the final levels, benefits, fulfillment commitments, payment treatment, imagery, program copy, and any legal or tax language. SYNHERGY will use those approved decisions to recommend and build the appropriate technical experience.

02 Monthly support

Focused support for the next three months

To work within OutAF's current budget, SYNHERGY is offering a streamlined three-month package that maintains the four requested service areas at a carefully defined level of support.

Three-month introductory structure

Focused Marketing

Consistent marketing support designed to maintain momentum while respecting the current budget.

$5,000 per month

Up to 8 organic social posts per month, generally 2 per week
Copy, design, scheduling, and adaptation across up to 2 agreed platforms
1 email marketing campaign per month
Up to 4 additional standard static graphics per month
Management of 1 paid social campaign active at a time
Up to 2 paid-ad creative variations per month
One monthly planning meeting and brief performance snapshot
Three-month initial term at the introductory rate

Planning beyond three months: This introductory rate applies to the initial three-month term. If both parties would like to continue, we will review priorities, results, workload, and the level of support needed before agreeing to a renewal scope and fee.

Paid media: Advertising spend is funded directly by OutAF and is not included in the management fee. Platform fees, subscriptions, stock assets, printing, shipping, and other third-party expenses are also separate.

03 How we will work together

Clear communication protects quality and timing

A simple approval structure and a consistent process for urgent work will help both teams plan responsibly, move faster, and avoid preventable confusion.

Rush delivery

A clear path for urgent requests

A request is considered rush work when the timing or scheduling conditions below apply. Each request will follow this process:

The requested deadline provides fewer than two business days after SYNHERGY receives all final, approved content, assets, access, decisions, and instructions
Completing the request would require SYNHERGY to reprioritize previously scheduled commitments
Same-day, next-business-day, evening, weekend, and holiday requests are handled as rush work and accepted only when capacity permits
SYNHERGY will provide a written rush quote confirming the deliverable, assumptions, fee, and feasible deadline
Rush work begins after written approval and any required payment. Availability will be confirmed with each request

Authorized direction

Three representatives, one clear direction

OutAF may designate one primary contact and up to two additional authorized representatives.

Only those three representatives may submit binding requests, approve work, change priorities, or authorize additional fees
Requests from other stakeholders will be routed through an authorized representative for written confirmation
OutAF is responsible for internal alignment and one consolidated set of instructions, feedback, and approvals
SYNHERGY will provide project updates and reporting through the designated contacts rather than separate updates to individual stakeholders
If instructions conflict, the affected work may pause until the authorized contacts provide consolidated direction

Late inputs may require a revised timeline or rush quote.

Complete, approved inputs help us protect the agreed schedule. If materials or decisions arrive late and OutAF would still like to preserve the original deadline, SYNHERGY will confirm whether compressed production is feasible and provide a rush quote before proceeding.

Additional coordination is available by separate quote.

If OutAF needs extra committee or board meetings, custom board decks, separate stakeholder reports, volunteer coordination, or direct coordination with sponsors, partners, and vendors, SYNHERGY will be happy to scope and quote that support separately.

04 Quote terms

A shared framework for a smooth engagement

These terms establish a clear starting point for both teams. A complete services agreement and statement of work will follow for review and signature after OutAF accepts a quote.

Agreement and kickoff

Accepting a quote confirms the preferred direction. Work, production time, launch dates, and monthly capacity are reserved after both parties sign the full agreement and the required initial payment is received.

Documented scope changes

Changes discussed in meetings or conversations take effect once the authorized representatives and SYNHERGY confirm them in writing, including any related fee, deliverable, or schedule adjustment.

Inputs support the schedule

OutAF will provide complete, accurate, and approved content, assets, access, decisions, and feedback. If required inputs or approvals are delayed, both teams will adjust the schedule accordingly.

Three-business-day approvals

OutAF will provide consolidated approval or feedback within three business days unless otherwise agreed. Silence is not approval and may shift the schedule.

Defined revisions

Revisions must be consolidated. New directions, additional rounds, changed benefits, new tiers, added platforms, or replacement deliverables are outside the quoted scope and require written approval and additional fees.

Monthly capacity

Deliverables and reserved capacity are assigned to each service month and do not accumulate, convert to credits, or carry forward.

Advance monthly billing

Monthly retainers are invoiced in advance. SYNHERGY may pause work, publishing, advertising management, or delivery if payment is overdue.

Performance expectations

SYNHERGY will provide professional strategy and execution. Donations, memberships, reach, engagement, media efficiency, sponsorships, and similar outcomes also depend on audiences, budgets, approvals, and third-party platforms.

OutAF approvals and fulfillment

OutAF will confirm factual accuracy, permissions, legal and tax review, benefit availability, merchandise inventory, event access, athlete availability, member fulfillment, and all commitments made to members or donors.

Ownership after payment

Final approved deliverables transfer after full payment. SYNHERGY retains its working files, reusable templates, systems, methods, processes, and pre-existing intellectual property unless the final agreement says otherwise.

Not included in this quotation

Website restructuring or sitewide redesign, Apollo training, Bloomerang or donor-CRM work, accounting or annual tax-letter administration, legal or tax advice, PR and media relations, sponsorship sales, live or on-site event coverage, merchandise sourcing or fulfillment, printing, shipping, photography, complex illustration, video production, animation, brand identity development, custom-coded applications, and third-party integrations not expressly listed above.
